What to include on a contractor invoice
- Your company name and, where your state requires it, your license number
- The job site address if it differs from the billing address
- Labor, with hours and rate
- Materials, itemized or as a total
- Permits, dump fees and other pass-through costs
- Deposits or earlier progress payments already received
- Payment terms and accepted payment methods
Tips for contractors
Bill in stages on bigger jobs
Split long projects into progress payments tied to milestones so you're never carrying the whole cost.
Show deposits clearly
Note each deposit and which invoice it was applied to. It prevents disputes at the final bill.
Attach change orders
Any extra work should match a signed change order. Reference it on the line.
Questions
Should materials and labor be separate on an invoice?
Separating them is good practice. Clients see the breakdown, and in states where materials are taxed but labor isn't, it makes the tax math correct.
How do I invoice a progress payment?
Describe the milestone reached (for example, “framing complete”), bill the agreed amount for that stage, and note any deposit or earlier payments already received.
Do I need my license number on an invoice?
Some states require contractors to show a license number on contracts, bids and invoices. Check your state's licensing board; when in doubt, include it.
